After each funnel stage, you need to send an email: a welcome after first contact, a proposal after qualification, a reminder two days later, a thank you after payment. No one does this manually and systematically — we automate sending via Bitrix24 robots. Our track record: over 50 successful CRM automation projects, average manager time savings of 3 hours per day per employee. With 10 managers, that's 30 hours per day — profit growth without new hires.
Why Emails Land in Spam and How to Fix It
Before setting up robots, your email must be correctly configured. A common mistake: robots are set up, but emails are sent from a technical address @bitrix24.ru and land in the client's spam. According to Return Path, deliverability of emails without SPF/DKIM is 60% lower — up to 40% end up in spam. The correct setup: Settings → Mail → Outgoing Mail — connect corporate SMTP (Google Workspace, Yandex 360, own server). After that, all emails from CRM are sent from your corporate domain. Additionally — SPF and DKIM records for the domain. Without them, automated emails get a low reputation and end up in spam even from a corporate address. We test deliverability using services like MXToolbox before going live.
Setting up SPF/DKIM boosts deliverability from 40% to 95% — 2.5 times more clients receive your emails. This directly affects your funnel conversion.
How to Configure the 'Send Email' Robot
Configure it in CRM → [Funnel] → Robots → [Stage] → Send email to client. Parameters:
-
From— sender address: portal email, personal mailbox of the deal responsible, or a fixed address. We recommend using the responsible's mailbox so the client sees a specific manager. -
To— Email field of the contact or company from the deal ({=Document.CONTACT_EMAIL}) or a fixed address. Ensure the field is filled for all contacts. -
Subject and body— support all deal field placeholders using{=Document.FIELD_NAME}. -
Delay— email sent immediately or after N hours/days.
For more details on robot types and triggers, see the official documentation.
What Are Email Templates and Why Use Them?
For reusable emails, create templates: CRM → Settings → Email Templates. A template is an HTML email with variables. When setting up a robot, select a template, and variables are substituted automatically. A basic HTML template for a robot:
<p>Hello, {=Document.CONTACT_HONORIFIC} {=Document.CONTACT_NAME}!</p> <p>Your request <strong>#{=Document.ID}</strong> has been received.</p> <p>Manager {=Document.ASSIGNED_BY_FULL_NAME} will contact you within an hour.</p> Note CONTACT_HONORIFIC — salutation (Dear Mr./Ms.). This field is often empty if not filled during contact creation. We advise omitting it or using a neutral form.
Email Open Tracking
Emails sent from CRM are tracked: you can see when a client opened the email and clicked links. Data appears in the deal timeline. For automatic reaction to opens — use the Email opened trigger. When triggered, you can move the deal to another stage or start the next robot reminder. A follow-up email chain is built this way.
How to Design an Email Sequence (Drip Campaign)
Example sequence for a SaaS product:
- Stage 'New' → Welcome email (immediately)
- Delay 1 day → 'How to start' email (if first not opened — a different email)
- Delay 3 days → 'FAQ' email
- Delay 7 days → 'Demo call with manager' email
Branching based on email opens requires using triggers together with robots — a plain robot chain with conditions cannot be built. We design these scenarios tailored to your funnel.
Example savings calculation
With 100 deals per month and 5 emails per deal, manual sending takes 50 hours. Automation reduces it to 5 hours. Savings: 45 hours per month, equivalent to 0.25 of a manager's salary. What's Included in Setup
