Automate Business Processes with Power Automate: Our Experience

A typical scenario: the sales department spends 3 hours a day manually transferring requests from Microsoft Forms to Excel and approving via email. Copying errors hit 10%, delays up to a day. Power Automate (formerly Microsoft Flow) automates this chain in 5 minutes — 24 times faster than manual entry. Add an approval workflow with Teams and Outlook notifications, and the process becomes fully transparent and controllable.

Our client — a logistics company with 200+ requests per day. Manual processing consumed 3 person-hours daily. After implementing the Flow, processing time dropped to 5 minutes, and errors disappeared entirely. We saved 40% of the department's time. Additionally, we integrated SharePoint with their CRM via the HTTP connector, automatically creating tasks in Planner for each new order.

What Tasks Can Be Automated with Power Automate?

Power Automate is a cloud and desktop automation platform integrated into Microsoft 365. It's ideal for:

  • Processing requests from Microsoft Forms and creating tasks in Planner.
  • Document approvals through Teams or email.
  • Integrating SharePoint with external CRMs via HTTP requests.
  • Monitoring Outlook emails and automatically creating incidents.
  • Automating desktop applications (Desktop Flow) for legacy systems.
Flow Type Purpose Example Use Case
Automated Flow Triggered by an event New row in SharePoint → Teams notification
Scheduled Flow On a schedule Daily report export to Excel
Instant Flow Manual trigger Button in Teams to create a request
Desktop Flow RPA Automate data entry into a legacy system

How We Automate: A Real-World Case Study

Our client — a logistics company with 200+ requests per day. Requests came via Microsoft Forms; managers manually transferred them to Excel and emailed them out. Time loss: 3 person-hours daily, errors in 10% of requests.

Our solution:

[Trigger: Microsoft Forms — new response] | [Get response details] | [Condition: Request type == "Urgent"] | | Yes No | | [Send email [Add row to to manager@] Excel Online] | | [Post message [Send Teams to Teams #urgent] notification] | [Create task in Planner]

Result: Request processing takes 5 minutes instead of 2 hours, errors eliminated. We saved up to 40% of department time. The project paid for itself in two months — we freed up one employee from routine processing.

How Does Power Automate Integrate with External APIs?

Power Automate calls any REST API via the HTTP connector. Example POST request to a CRM:

{ "method": "POST", "uri": "https://api.example.com/orders", "headers": { "Content-Type": "application/json", "Authorization": "Bearer @{variables('apiToken')}" }, "body": { "orderId": "@{triggerBody()?['id']}", "customerEmail": "@{triggerBody()?['customer']?['email']}", "amount": "@{triggerBody()?['total']}", "createdAt": "@{utcNow()}" } }

According to Microsoft documentation, Power Automate supports more than 600 built-in connectors. Microsoft Power Automate documentation

Expressions and Advanced Logic

Power Automate uses Power Fx for transformations:

formatDateTime(utcNow(), 'dd.MM.yyyy') concat(triggerBody()?['firstName'], ' ', triggerBody()?['lastName']) if(equals(triggerBody()?['status'], 'vip'), 'Priority', 'Standard') length(body('Get_items')?['value']) first(body('Get_items')?['value']) formatNumber(triggerBody()?['amount'], 'N2', 'ru-RU')

Approvals — Document Approval

Built-in approval module:

[Trigger: SharePoint — new document uploaded] | [Start and wait for an approval] Approvers: [email protected], [email protected] Title: Approval of @{triggerBody()?['Name']} Details: @{triggerBody()?['Description']} | [Condition: outcome == 'Approve'] | | Yes No | | [Move file [Send email: to /Approved] rejected]

Timelines and Cost

Setup time ranges from 1 to 5 days depending on complexity. Cost is calculated individually after an audit — contact us for a free assessment.

What's Included in the Setup

  • Complete automation ready to use
  • Flow documentation and user guide
  • Access and permissions (license configuration)
  • Employee training (1 hour online)
  • Post-production support (2 weeks)
Parameter Value
Setup time 1–5 days
Training 1 hour online
Support 2 weeks after launch

How to Avoid Common Power Automate Setup Mistakes

A frequent issue is ignoring API rate limits — many external services throttle requests per minute. Our engineers build in error handling and retries. Another problem is improper handling of empty arrays in loops. We use if(empty(...)) conditions and default values. Third, incorrect license setup: Desktop Flow requires a Premium license, otherwise RPA is unavailable. We help select the right plan.
